We are committed to protecting your privacy and will only use the information we collect about you lawfully. This notice is intended to give you a clear understanding of how and why we use the information you give us.
This notice sets out how Clatterbridge Cancer Charity (‘we’, ‘us’ or ‘our’) will respect and keep safe any personal data that you share with us. It is our aim to be transparent when we collect your data and not do anything with it that you would not reasonably expect.
We want to ensure that we only send marketing communications to those who are happy for us to do so. Our marketing communications include information about our latest hospital news, fundraising and events. Personal data is information that can be used to help identify an individual, such as name, address, phone number or email address.
We collect personal data in the following ways:
When you give it to us directly
You may give us your information in order to sign up for one of our events, make a donation, communicate with us, share your story or purchase products. Sometimes when you support us, your information is collected by an organisation working on our behalf (for example, when signing up to play our Lottery), but we are responsible for your data at all times.
When you give it to us indirectly
Your information may be shared with us by independent event organisers or fundraising sites such as JustGiving. These independent third parties will only do so when you have indicated that you wish to support Clatterbridge Cancer Charity and with your consent.
Social media
Depending on your settings or the privacy policies for social media platforms such as Facebook, Instagram or X (formerly Twitter), you might give us permission to access information from those accounts or services.
Publicly available information
This may include information found in places such as Companies House and information that has been published in the media.
When you use our website
Like most websites, we use ‘cookies’ to help make our site, and the way you use it, better – for example, by automatically filling in your name and address in text fields.

We will only ever collect the information we need, including data that will help us to improve our services and give you the best possible supporter experience.
If you make a donation, volunteer, register to fundraise, sign up for an event or purchase charity merchandise, we will usually ask for:

- your contact details
- your bank or card details
Where appropriate, we may also collect:
- confirmation of whether you are over a certain age (for example, if you are taking part in a challenge event)
- information relating to your health (for example, if you have asked us to share your story)
- why you have decided to donate
We will mainly use your data to:
- provide you with the services, products or information you have asked for.
- administer your donation, including processing Gift Aid.
- support you in your fundraising.
- provide essential event information where you have signed up to take part.
- ensure we know how you prefer to be contacted.
- comply with applicable laws and regulations, and requests from statutory agencies.
- keep a record of your relationship with us for our own administrative purposes.
- carry out research such as supporter satisfaction surveys.
- understand more about you and what aspects of our work you may be interested in.
- understand how we can improve our services, products or information.
- ensure that content from our website is presented in the most effective manner for you and your device
Our lawful basis for processing your personal data will vary depending on the activity. We process data on the following bases under the UK GDPR and the Data Protection Act 2018:
- Consent – where you have actively opted in to receive communications or to have your data used in a specific way.
- Contract – where processing is necessary to fulfil an agreement with you (for example, processing your event registration).
- Legal obligation – where we are required to process your data to comply with the law.
- Legitimate interests – where we have a legitimate interest in processing your data and this does not override your rights (see the Direct Marketing and Charitable Purpose Soft Opt-in sections below)
We record information you give us to build a profile of your interests and preferences. We do this to help us understand in what ways you might be interested in getting involved (for example, if you are a keen cyclist). This helps us to make our requests for support more relevant to you and enables us to raise funds in a more cost-effective way.
This activity involves a degree of profiling. Under the UK GDPR, you have the right to object to your data being used in this way, particularly where it is used for direct marketing purposes. You can exercise this right at any time by contacting us using the details in the Your Rights section below.
With your consent, or on the basis of legitimate interest, we will contact you to let you know about our latest appeals, events, fundraising campaigns, services and updates, and to ask for donations and provide information about other products or services we offer. Occasionally, we may include information from partner organisations who are supporting our work.
We make it easy for you to tell us how you want us to communicate with you. We ensure you are asked clear marketing preference questions and we include information on how to opt out whenever we send you marketing communications.

As a result of new UK legislation, charities are now able to send electronic marketing communications using what is known as the Charitable Purpose Soft Opt-in.
This is a form of legitimate interest for electronic marketing that applies specifically to the charity sector.
This means we may contact you by email or text message without requiring explicit prior consent, provided that:
- you have previously engaged with us in a meaningful way – for example by making a donation, signing up for an event, or taking part in a campaign.
- the communication relates directly to our charitable purpose.
- we give you a clear and simple way to opt out in every communication we send.
We will only use the Charitable Purpose Soft Opt-in to contact supporters whose previous engagement suggests a genuine interest in our work. This may include information about fundraising appeals, upcoming events, news from the Clatterbridge Cancer Centre, or other ways to get involved in supporting cancer care across Cheshire, Merseyside and beyond.

Many people choose to tell us about their experience of The Clatterbridge Cancer Centre and living with cancer.
These stories often help us to inspire others and support the important work we do. They may include sensitive information about health, family life and personal experiences.
We only use this information – including details such as gender, ethnicity or cancer diagnosis – with the explicit consent of the individual concerned (or their parent or guardian if they are under 18). This information may form part of our fundraising messaging or be used to promote the work of the charity and the hospital. It may be used in the media, online, in printed materials or at events.
We will only store information about children if we have received explicit consent from their parent or guardian. We manage this in a way that is appropriate to the age of the child and in line with our safeguarding responsibilities.
We will never sell or swap your data with third parties.
However, we may share your information with trusted service providers who are authorised to act on our behalf, or with organisations we work with in partnership to fundraise on our behalf. If you participate in our Lottery, for example, your information will be processed by the company that administers it.
These partners may include mailing houses, marketing agencies and IT specialists. The kind of work we may ask them to do could involve processing, packaging and delivering mail, answering questions about our products or services, or processing payments.
We will only pass personal data to them if they have signed a contract requiring them to:
- abide by Data Protection legislation, including the UK GDPR and the Data Protection Act 2018.
- comply with the Code of Fundraising Practice.
- treat your information as carefully as we would.
- only use the information for the purposes for which it was provided, and not for their own or any other organisation’s purposes.
- allow us to carry out checks to ensure they are meeting all of these requirements.
Your information is stored on computers located in the UK. We may transfer it to trusted partners working on our behalf, as explained above. We may also hold information in paper files.
We place great importance on the security of all personally identifiable information associated with our supporters, customers and users. We have security measures in place to protect against the loss, misuse and alteration of personal data under our control. For example, only authorised personnel are permitted to access user information, and we use secure software to encrypt financial and personal data.
Whilst we cannot guarantee that loss, misuse or alteration of data will never occur, we use our best efforts to prevent this.
Unfortunately, the transmission of data across the internet is not completely secure, and we cannot guarantee the security of information during transfer.
Where you have been provided with a password to access parts of our website or services, it is your responsibility to keep that password confidential. Please do not share your password with anyone.
How long we keep your information
We will keep your information only for as long as we need it to provide you with the goods, services or information you have requested, to administer your relationship with us, to comply with the law, or to ensure we do not contact people who have asked us not to.
Specific retention periods apply in some cases – for example, records relating to Gift Aid claims are kept for a minimum of six years in line with HMRC requirements. Where you ask us to suppress your details rather than delete them entirely, we will retain a minimum record to ensure your preferences are honoured.
We operate a number of social media pages, including Facebook, Instagram, X (formerly Twitter), LinkedIn and TikTok. Whilst this notice covers how we will use any data we may collect from those profiles, it does not cover how the providers of those platforms will use your information.
Please read the privacy policy of any social media platform before sharing your data. We encourage you to make use of the privacy settings and reporting mechanisms they provide.
Under the UK GDPR and the Data Protection Act 2018, you have a number of rights in relation to your personal data. These include:
- The right to be informed about how and why we use your data (which this notice provides).
- The right of access – to request a copy of the personal data we hold about you (known as a Subject Access Request).
- The right to rectification – to have inaccurate or incomplete personal data corrected.
- The right to erasure – to request that your personal data is deleted in certain circumstances.
- The right to restrict processing – to ask us to limit how we use your data in certain circumstances.
- The right to data portability – to receive your data in a structured, commonly used format in certain circumstances.
- The right to object – to object to your data being used for direct marketing or profiling at any time.
